How we work

How we set up
and run your desk.

We start by learning how your operation works, then set up a desk that follows your SOPs. Once it is running, we report on the work and improve it with you.

Six stages

From first conversation to a running desk

  1. Stage 01: Discovery

We learn which workload you want to hand over, your volumes, systems and customers.

    What we do
Run working sessions with your operations team.
    What you provide
Time with the people who do the work today.
    Result
An agreed scope for the desk.
  2. Stage 02: SOP mapping

We document how each task is done in your operation, including exceptions and escalations.

    What we do
Write up or review SOPs for every task in scope.
    What you provide
    Existing SOPs, examples and sign-off.
    Result
Signed-off procedures we will work to.
  3. Stage 03: Desk setup

We assign operators, set up access and run supervised work on real files.

    What we do
Assign the desk and train it on your SOPs and systems.
    What you provide
System and mailbox access, a point of contact.
    Result
A desk ready to take on the agreed workload.
  4. Stage 04: Operations

Our freight professionals handle the defined workload every working day.

    What we do
Run the files, inbox and follow-ups in scope.
    What you provide
Escalation decisions and changes in priorities.
    Result
    Workload handled by the desk.
  5. Stage 05: Reporting

You see what the desk handled and where the open issues are.

    What we do
Share agreed reports on workload, response times and exceptions.
    What you provide
Feedback on what is useful to see.
    Result
    Regular visibility of the operation.
  6. Stage 06: Continuous improvement

We use operational data and FreightWizard to find bottlenecks and repetitive work.

    What we do
Propose changes to procedures, templates and scope.
    What you provide
Approval of changes before they apply.
    Result
A desk that improves over time.

Onboarding

Example onboarding timeline

The sequence below is typical. Actual durations are agreed with you during discovery and depend on scope and volumes.

Example onboarding sequence: discovery, then SOP mapping overlapping discovery, desk setup, a supervised start, then ongoing operations and reporting. Durations are configurable.

Operating model

Your systems. Your procedures. Our operators.

Our operators work inside your existing systems and procedures as an extension of your team. You do not need to change the way you operate.

  • We work in your TMS / ERP, your mailboxes and your document flows.
  • Your SOPs and escalation rules define how every task is handled.
  • Your customers, carriers and agents continue to deal with your company.
